ODAC Health & Safety Guidelines
ODAC is dedicated to providing a safe event experience for all participants involved including participants, speakers, exhibitors and sponsors, event staff, vendors, and anyone else that will be present at the event. Given that the responsibility of a safe in-person event is equally shared among all event participants, we have developed the following ODAC 2022 safety and health measures. The measures implemented are based on responses from our COVID precautions survey and CDC recommendations.

BEFORE LEAVING HOME

Please stay home if you feel sick OR if you have come into contact with people who are sick.

Follow all government and airline travel guidance and restrictions

Complete the digital Pre-Event Health Questionnaire before arriving onsite

The questionnaire will be emailed to you prior to the event.

Sign the ODAC 2022 COVID Responsibility Agreement

PRE-EVENT HEALTH QUESTIONARE

Answer COVID-19 health screening questions

The questionnaire will include common COVID-19 health screening questions.

Provide proof of a negative COVID-19 test taken within 72 hours of arrival

Alternatively, you may provide proof of vaccination in lieu of a negative COVID-19 test

PERSONAL HEALTH & SAFETY

Practice personal hygiene

Wash or sanitize hands often, avoid touching your face, cover your nose/mouth when you cough/sneeze.

Have your temperature taken upon entering the meeting space

The temperature screening will be a touchless process.

Complete digital daily health screenings and show proof upon entry to all sessions

MASK RULES

Mask rules apply, regardless of COVID-19 test or vaccination

Required in all general sessions, breakouts, hallways and the registration area

Attendees will be allowed to remove masks when eating and drinking in the Exhibit Hall

Attendees are allowed to remove masks during sessions where food and beverage are provided once they are seated to eat

Attendees must be seated to eat prior to removing mask. Attendees must don masks once they are finished eating and if they get up from their seat.

COLOR CODED BADGE LANYARDS

All participants will be required to wear color coded badge lanyards in accordance with their own preference for networking and personal contact

Green lanyards represent the participant is okay with contact like handshakes and hugs

Yellow represents the participant is comfortable with others standing close but prefer not to be touched

Red represents the participant prefers others keep distance and not to be touched

ADDITIONAL CLEANING & HYGIENE MEASURES

Continuous sanitization throughout the event

The hotel and exhibitor services provider will provide continuous sanitization throughout the event, with a focus on high-touch areas such as door handles, restrooms, the Exhibit Hall, and food and beverage areas

Upgraded air filters and increased air circulation

The hotel air filters have been upgraded and the amount of outside air that gets filtered into all meeting spaces has been increased.

Hand sanitizer and sanitizing wipes will be provided throughout the meeting space

SOCIAL DISTANCING & LIMITED CONTACT

Limited contact check in at registration

Attendees will check themselves in on a tablet and then wipe the tablet down after they use it with provided sanitizing wipes

Socially distanced seating in sessions

3-foot distanced seating will be available in all sessions and social distancing is encouraged in all other areas

IF YOU FEEL UNWELL

Immediately report to the registration desk at any time if you feel unwell or are experiencing flulike symptoms

HOTEL SAFETY MEASURES

ODAC 2022 is scheduled to take place at the Rosen Shingle Creek Orlando. The Global Biorisk Advisory Council (GBAC) awarded Rosen Shingle Creek the esteemed accreditation into its performance-based GBAC STAR™ Facility program. ORLANDO SAFETY MEASURES

As they continue to work to stop the spread of COVID-19, Orlando’s local government leaders are taking action, including the recommendation that visitors and residents wear facial coverings while in indoor spaces per the latest CDC guidance. ADDITIONAL RESOURCES

ODAC 2022 COVID RESPONSIBILITY AGREEMENT

Participants must abide by all health safety and policies applicable to their attendance and participation in the event, including without limitation any governmental or other health or safety rule, regulation or guidelines, and any policies and protocols implemented by any venue or event host or sponsor. These health and safety protocols and policies are subject to change and updating up to and throughout the event. We will endeavor to communicate any developments and changes to the Speakers via email and upon check-in. The health and safety protocols and policies may include, but are not limited to, any or all of the following: mask requirements, maximum attendance, virtual sessions, temperature checks, proof of vaccination, proof of negative test results, social distancing, waivers of liability, and other appropriate measures.
